Privacy Policy

This policy explains how BG FLOW SYSTEMS INC. (“BG Flow”, “we”, “us”) handles information when companies and their authorized users use BG Flow websites, Office, Office Mobile, Field, onboarding, support, and connected services.

Information we handle

We handle information provided by subscriber companies and their authorized users, including account and login details, company identity and settings, employee work profiles, customer and service site details, equipment records, Work Orders, schedules, checklists, quotes, invoices, payment records, inventory activity, support requests, and security or audit events.

We also receive limited technical information needed to operate and protect the service, such as session, browser, device, error, and network information. BG Flow does not collect payment-card numbers through the current product.

How we use information

We use information to provide and secure BG Flow, connect office and field workflows, deliver requested communications, support onboarding, troubleshoot problems, prevent misuse, maintain subscriber records, and comply with legal obligations.

Subscriber companies control the business records they enter and are responsible for giving their staff and customers any notices or obtaining any permissions required for that information.

QuickBooks Online

QuickBooks Online connects only after an authorized company Owner or Admin approves the connection. BG Flow uses that authorization to read connection health and available setup lists and, when the user deliberately requests it, send supported customer, Product or Service, completed invoice, and payment records to the company’s selected QuickBooks Online file.

BG Flow stores provider identifiers, synchronization status, audit history, and encrypted authorization tokens needed to maintain the connection. BG Flow does not sell QuickBooks data, use it for advertising, share it between subscriber companies, or use the QuickBooks Payments API to process cards. An authorized Owner or Admin can disconnect QuickBooks in BG Flow.

When information is shared

We share information only as needed with service providers that help host, secure, operate, monitor, and deliver BG Flow, with connected services a subscriber chooses to use, or when required by law. These providers may process information in Canada, the United States, or other locations where they operate.

We do not sell personal information or use subscriber business data for third-party behavioural advertising. We do not disclose one subscriber company’s records to another subscriber company.

Retention and protection

We retain information while an account is active and as reasonably needed to provide the service, preserve financial and security audit records, resolve disputes, meet legal obligations, and maintain protected backups. Retention periods vary by record type and legal requirement.

BG Flow uses access controls, company-level separation, encrypted transport, restricted server credentials, encrypted connected-service tokens, and audit records. No online service can guarantee absolute security, and subscribers must protect their own accounts and devices.

Access, correction, and deletion

Authorized users can review and correct much of their information inside BG Flow. A subscriber Owner may request account assistance, access, correction, export, or deletion through BG Flow support. Requests may require identity and authority verification, and some records may be retained where required for security, accounting, legal, or backup purposes.
